# Best AI Productivity Tools

> Source: https://theexpertranking.com/assistants/best-ai-productivity-tools/ · Updated 2026-09-25 · By Goury A K, reviewed by Anand P S · The Expert Ranking (independent; no paid placements)

Most people waste time in the same five places: email, meetings, documents, their calendar and copying data between apps. The best AI productivity tools attack one of those leaks. A few, like ChatGPT, Gemini and Microsoft 365 Copilot, try to cover all of them.

We ranked 12 tools on how much real work they take off your plate, how well they plug into the apps you already use, ease of use, value and privacy controls. Prices are US list prices as of September 23, 2026. This page is the overview. For deeper dives, see our rankings of [AI for meetings](https://theexpertranking.com/business/best-ai-for-meetings/), [AI for email](https://theexpertranking.com/business/best-ai-for-email/), [AI note-taking apps](https://theexpertranking.com/business/best-ai-note-taking-apps/) and [AI project management](https://theexpertranking.com/business/best-ai-project-management/).

**Quick answer:** Start with the AI that lives inside the tools you already pay for: **Gemini** if your company runs on Google Workspace, **Microsoft 365 Copilot** if it runs on Outlook, Teams and Excel. If you are free to choose, **ChatGPT Business** ($20/user/month, annual) is the strongest all-round work assistant. Then add one specialist for your biggest time sink: **Granola** for meeting notes, **Zapier** to automate repeat tasks, or **Notion** as a shared team workspace.

## Scoreboard

## Expert reviews

### 1. ChatGPT: 8.6/10

Vendor: OpenAI · Website: https://chatgpt.com/ · Pricing: $20/user/month (Business, annual); $25 monthly (Freemium, free tier)

ChatGPT is the most useful single AI tool for work in 2026 because it does the widest range of jobs well. It drafts and rewrites documents, analyses spreadsheets, researches the web with sources, reads your files and now runs multi-step tasks through ChatGPT Work and workspace agents.

For teams, **ChatGPT Business** got cheaper in April 2026: $20 per user a month on annual billing, with a two-seat minimum. OpenAI says it does not train on Business data by default, and the plan adds SSO and connectors to tools like Google Drive, SharePoint and GitHub. Heavy agent use now draws on credits, so budget for that if you plan to automate a lot.

The gap is integration depth. ChatGPT sits beside your email and calendar rather than inside them, so Gemini and Microsoft 365 Copilot feel more natural if your company lives in one suite.

**Pick it if** you want the best general assistant and your team uses a mix of apps. **Skip it if** your company is all-in on Google Workspace or Microsoft 365, where the built-in assistant may cost you nothing extra.

Scores: Time saved 9 · Integrations 8 · Ease of use 9 · Value 8.5 · Privacy & admin 8.5

Pros:
- Widest feature set: writing, data analysis, research, images and agents
- Business seat cut to $20/user/month (annual)
- Clean apps on every platform, including desktop
- No training on Business data by default (OpenAI)

Cons:
- Not built into your email or calendar the way Gemini and Copilot are
- Agent-heavy work consumes credits on top of the seat price
- Minimum two seats for Business

### 2. Gemini in Google Workspace: 8.5/10

Vendor: Google · Website: https://workspace.google.com/solutions/ai/ · Pricing: Included in Business Standard (about $14/user/month annual list) (Paid)

If your company already pays for Google Workspace Business Standard, you already have one of the best AI productivity tools. Gemini is built into Gmail, Docs, Sheets, Slides, Meet and Chat, so you use it where you work instead of copying text into a separate chatbot.

The everyday wins are real: summarise a long email thread, draft a reply in your tone, turn meeting notes into a Doc automatically with 'Take notes for me', and ask questions about files in Drive. Gemini Notebook (formerly NotebookLM) and Workspace Studio agents are included on Standard and above.

The weak spots: Gemini in Sheets is still less capable than a dedicated data tool, and Business Starter only gets the Gmail features, so small teams on the cheapest plan miss most of it. Google often runs introductory discounts, so check your region's price.

**Pick it if** your team lives in Google Workspace; try what you already have before buying anything else. **Skip it if** you run on Microsoft 365, or you need the strongest standalone assistant for deep writing and analysis.

Scores: Time saved 8 · Integrations 9 · Ease of use 8.5 · Value 9 · Privacy & admin 8.5

Pros:
- No extra charge on Business Standard and above
- Works directly inside Gmail, Docs, Sheets and Meet
- Automatic meeting notes saved to Docs
- Admin controls and data protections of Workspace

Cons:
- Business Starter only gets Gmail features
- Sheets features trail dedicated analysis tools
- Less useful if your team uses non-Google apps

### 3. Microsoft 365 Copilot: 8.4/10

Vendor: Microsoft · Website: https://www.microsoft.com/en-us/microsoft-365-copilot · Pricing: $18/user/month (Copilot Business, annual, promo) (Paid)

Microsoft 365 Copilot is the most deeply integrated AI for companies on Microsoft's stack. It drafts and summarises in Outlook, recaps Teams meetings with action items, builds slides in PowerPoint from a Word doc, and analyses data in Excel. Because it works through Microsoft Graph, it can answer questions using your company's emails, chats and files while respecting who is allowed to see what.

The built-in Researcher and Analyst agents handle longer tasks, and the Copilot app on phone and desktop brings it all together. Admin, compliance and data residency controls are the strongest here, which is why large firms often start with Copilot.

The catch is cost and complexity. Copilot Business lists at $21 per user a month (discounted to $18 on annual plans until the end of 2026) on top of a Microsoft 365 licence, and Enterprise is $30. Results depend on how tidy your SharePoint and permissions are.

**Pick it if** your company already runs on Microsoft 365 and handles sensitive data. **Skip it if** you are a small team on Google Workspace or want the cheapest capable assistant.

Scores: Time saved 8.5 · Integrations 9.5 · Ease of use 7.5 · Value 7 · Privacy & admin 9

Pros:
- Works inside Outlook, Teams, Word, Excel and PowerPoint
- Answers from company data while respecting permissions
- Strongest compliance and admin tooling
- Free Copilot Chat for eligible business plans

Cons:
- Add-on cost on top of a Microsoft 365 licence
- Quality depends on tidy files and permissions
- Many features to learn; rollout needs training

### 4. Granola: 8.2/10

Vendor: Granola · Website: https://www.granola.ai/ · Pricing: Free; Business $14/user/month (Freemium, free tier)

Granola is the meeting tool people keep using after the trial ends. It does not send a bot into your call. Instead, it listens through your computer or phone, and you type rough notes as normal. Afterwards it merges your notes with the transcript into a clean summary, keeping your points at the top.

That approach works on Zoom, Meet, Teams and in-person meetings, and it feels less awkward for the other people in the room. Granola deletes audio after transcription and holds SOC 2 Type II, and the Business plan links notes to Notion, HubSpot, Attio and Zapier. It now runs on Mac, Windows, iPhone and Android.

The limits: the free plan only keeps 30 days of history, it is a personal notes tool rather than a team recording archive, and there is no video recording to replay. Always tell people you are transcribing.

**Pick it if** you want better meeting notes with no bot and almost no setup. **Skip it if** your team needs shared recordings and call analytics; see our [AI for meetings](https://theexpertranking.com/business/best-ai-for-meetings/) ranking for Fathom and Fireflies.

Scores: Time saved 8.5 · Integrations 7.5 · Ease of use 9 · Value 8.5 · Privacy & admin 8

Pros:
- No meeting bot joins your calls
- Combines your notes with the transcript
- Works for in-person meetings too
- Simple, fast and cross-platform

Cons:
- Free plan keeps only 30 days of notes
- No video recordings to replay
- Personal tool more than a team archive

### 5. Zapier: 8.1/10

Vendor: Zapier · Website: https://zapier.com/ · Pricing: Free; Professional from $19.99/month (annual) (Freemium, free tier)

Zapier saves time by removing the copy-and-paste work between apps. A new form entry can become a CRM record, a Slack message and a calendar event without anyone touching it. With more than 9,000 connected apps, it almost certainly supports the tools your team uses.

AI makes it easier to build and smarter to run. You can describe an automation in plain English and Zapier's Copilot drafts it. AI steps can summarise, classify or extract data mid-workflow, and Zapier Agents can handle open-ended tasks like researching a lead. Its MCP server also lets assistants like ChatGPT and Claude trigger Zapier actions.

The downside is cost at scale. Zapier bills per task (each successful action step), so a busy workflow can push you into higher tiers quickly. Technical teams that want self-hosting or lower costs often prefer n8n or Make.

**Pick it if** you want the easiest way for non-developers to automate work across many apps. **Skip it if** you run very high volumes or want to self-host; compare options in our [AI automation tools](https://theexpertranking.com/developers/best-ai-automation-tools/) ranking.

Scores: Time saved 8 · Integrations 9.5 · Ease of use 7 · Value 7.5 · Privacy & admin 7.5

Pros:
- 9,000+ app integrations, the widest available
- Build automations by describing them in plain English
- AI steps and Agents handle messy, unstructured data
- Free plan to test simple two-step Zaps

Cons:
- Per-task pricing gets expensive at volume
- No self-hosting option
- Complex multi-branch Zaps still take practice

### 6. Notion: 8.0/10

Vendor: Notion Labs · Website: https://www.notion.com/ · Pricing: Free; full AI on Business $24/member/month ($20 annual) (Freemium, free tier)

Notion is our pick for AI-powered collaboration because it puts your team's documents, wikis, meeting notes and project boards in one place, then lets AI work across all of it. Notion Agent can draft pages, fill in databases, update many pages at once and answer questions from your workspace. AI Meeting Notes records and summarises calls straight into a page, and Enterprise Search looks across Notion and connected tools like Slack and GitHub.

That breadth is the point: instead of one AI per app, the AI sees the whole shared context. Enterprise plans add zero data retention with Notion's model providers.

The pricing change in 2025 matters, though. Full Notion AI now needs the Business plan at $24 per member a month ($20 annual); Free and Plus users only get a trial. Custom Agents cost extra credits, and big workspaces can get slow.

**Pick it if** your team wants one shared home for docs and projects with AI built in. **Skip it if** you only need personal notes (see our [AI note-taking apps](https://theexpertranking.com/business/best-ai-note-taking-apps/) ranking) or your company already standardised on Google Docs or SharePoint.

Scores: Time saved 8 · Integrations 8 · Ease of use 8 · Value 7.5 · Privacy & admin 8.5

Pros:
- Docs, wikis, projects and meeting notes in one workspace
- Notion Agent works across many pages and databases
- Enterprise Search reaches connected tools
- Strong admin and data-retention controls on Enterprise

Cons:
- Full AI requires the $20/member Business plan
- Custom Agents billed separately in credits
- Large workspaces can feel slow

### 7. Slack: 8.0/10

Vendor: Salesforce · Website: https://slack.com/ai · Pricing: Business+ about $15/user/month (annual) for full AI (Freemium, free tier)

Slack's AI earns its place because so much work happens in chat. Coming back from a day off, you can ask for a recap of busy channels instead of scrolling through hundreds of messages. Thread summaries, huddle notes and AI search answers save the most time for people in many channels.

In 2025 Slack dropped its separate AI add-on and rebuilt its plans. Thread summaries and huddle notes now come with every paid plan. AI search, daily recaps, translations and file summaries need Business+ (about $15 per user a month on annual billing, per third-party price trackers), and cross-app enterprise search needs Enterprise+.

The limits: Slack's AI only helps with work that happens in Slack. It will not draft your documents or manage your calendar, and the jump to Business+ is a big price rise for small teams that only want AI.

**Pick it if** your team runs on Slack and loses hours catching up on channels. **Skip it if** you mostly work in email and documents, where Gemini, Copilot or ChatGPT will save more time.

Scores: Time saved 7.5 · Integrations 8.5 · Ease of use 8.5 · Value 7 · Privacy & admin 8.5

Pros:
- Channel recaps and thread summaries cut catch-up time
- Huddle notes included on all paid plans
- AI search answers questions from past conversations
- Familiar tool with strong admin controls

Cons:
- Most AI features need the pricier Business+ plan
- Only helps with work that happens inside Slack
- Separate AI add-on no longer available for cheaper plans

### 8. Superhuman: 7.7/10

Vendor: Superhuman (formerly Grammarly Inc.) · Website: https://superhuman.com/ · Pricing: Business $33/member/month (annual) for Mail (Freemium, free tier)

Superhuman is now a suite, not just an email app. After Grammarly bought Superhuman and took its name in 2025, the Business plan bundles Superhuman Mail with Grammarly's writing help, the Go assistant and Docs. For people who spend hours a day in email, it is one of the biggest time savers available.

Mail is built for speed: keyboard shortcuts for everything, split inboxes, reminders and AI that drafts replies in your voice, summarises threads and lets you ask questions about your inbox. Grammarly and Go then follow you into other apps to fix and rewrite text.

Value is the weak point. Mail is only available on the Business plan, which third-party reports put at $33 per member a month on annual billing. Gemini in Gmail and Copilot in Outlook now cover the basic AI email tasks for much less, sometimes for free.

**Pick it if** email is your main job and a faster inbox is worth $30 or more a month. **Skip it if** you mainly want AI replies and summaries; try what is built into Gmail or Outlook first, or compare options in our [AI for email](https://theexpertranking.com/business/best-ai-for-email/) ranking.

Scores: Time saved 8 · Integrations 7.5 · Ease of use 8.5 · Value 6.5 · Privacy & admin 8

Pros:
- Fastest inbox workflow for heavy email users
- AI drafts in your voice and answers inbox questions
- Grammarly and Go work across your other apps
- Supports both Gmail and Outlook accounts

Cons:
- Mail only on the Business plan
- Expensive next to built-in Gmail and Outlook AI
- Keyboard-first design takes a week to learn

### 9. Reclaim.ai: 7.7/10

Vendor: Dropbox · Website: https://reclaim.ai/ · Pricing: Free; Starter from $10/seat/month (Freemium, free tier)

Reclaim.ai, now part of Dropbox, protects your calendar from yourself. You tell it how many hours of focus time you need each week, which habits matter (lunch, exercise, a daily planning block) and which tasks are due, and it books time for them around your meetings. When a new meeting lands, it moves the flexible blocks instead of dropping them.

It works with Google Calendar and Outlook, syncs personal and work calendars so people cannot double-book you, and offers scheduling links. The free Lite plan is genuinely useful for one person, with Focus Time, Habits and buffer time between meetings.

The limits: Reclaim is a calendar tool, not a full project manager, and the free plan only schedules one week ahead with one calendar sync. Its AI is practical rather than flashy, which is a good thing.

**Pick it if** meetings keep eating the time you need for real work. **Skip it if** you want full AI project planning across a team; Motion goes further, at a higher price.

Scores: Time saved 7.5 · Integrations 7.5 · Ease of use 8 · Value 8.5 · Privacy & admin 7.5

Pros:
- Automatically defends focus time and habits
- Reschedules flexible blocks when meetings move
- Useful free plan for individuals
- Syncs personal and work calendars

Cons:
- Free plan only schedules one week ahead
- Not a project management tool
- Needs honest time estimates to work well

### 10. Raycast: 7.7/10

Vendor: Raycast · Website: https://www.raycast.com/ · Pricing: Free; Pro $10/month ($96/year) with AI (Freemium, free tier)

Raycast replaces your computer's search bar with a launcher that does far more, and its paid plans add AI you can reach from any app with one keyboard shortcut. Highlight text anywhere and fix its grammar, translate it or turn it into a to-do. Ask a quick question without opening a browser tab. Build AI commands you reuse every day.

The free version is already a strong productivity tool on its own, with clipboard history, snippets, window management and thousands of extensions. AI starts on Pro at $10 a month ($96 a year) with 500 AI credits; Plus ($20) and Max ($50) add more credits and the most advanced models from several providers.

The limits: Raycast began as a Mac app and the Mac version is still the most complete, even though Windows and iOS apps exist. It suits people who like keyboard shortcuts; everyone else may never open it.

**Pick it if** you live on a Mac keyboard and want AI inside every app. **Skip it if** you rarely use shortcuts, or you already pay for ChatGPT or Claude and their desktop apps are enough.

Scores: Time saved 7.5 · Integrations 8 · Ease of use 7.5 · Value 8 · Privacy & admin 7.5

Pros:
- AI available in any app with a shortcut
- Excellent free launcher even without AI
- Access to models from several AI labs
- Custom AI commands for repeat tasks

Cons:
- AI needs a paid plan; Pro has only 500 credits
- Mac version is the most complete
- Best for keyboard-heavy users

### 11. Otter.ai: 7.7/10

Vendor: Otter.ai · Website: https://otter.ai/ · Pricing: Free (300 min/month); Pro $8.33/month annual (Freemium, free tier)

Otter is the veteran of AI transcription and still one of the cheapest ways to get searchable meeting notes. It joins Zoom, Meet and Teams calls, transcribes live, and produces summaries, action items and an AI chat you can ask about any meeting. The phone app is also handy for recording lectures and in-person interviews.

The free plan gives 300 minutes a month, and Pro costs $8.33 a month on annual billing for 1,200 minutes. That is less than most rivals, and its Android app holds a 4.8 rating from about 44,000 users.

The drawbacks: Otter's meeting bot joins calls by default, which some attendees find intrusive, and summaries are less polished than Granola's or Fathom's. Otter has also faced a 2025 US class action over recording people without consent, a reminder to set it up carefully and tell participants.

**Pick it if** you want cheap, reliable transcripts of lots of meetings or lectures. **Skip it if** you want the best summaries or a bot-free experience; Granola ranks higher for that.

Scores: Time saved 7.5 · Integrations 7.5 · Ease of use 8.5 · Value 8 · Privacy & admin 7.5

Pros:
- Generous free tier and low Pro price
- Live transcription with speaker labels
- Good mobile apps for in-person recording
- AI chat across all your meetings

Cons:
- Meeting bot joins calls by default
- Summaries less polished than newer rivals
- Faced a 2025 class action over recording consent

### 12. Motion: 7.2/10

Vendor: Motion · Website: https://www.usemotion.com/ · Pricing: $19/seat/month (Pro AI) (Paid)

Motion goes further than Reclaim. It is a calendar, task manager and project tool in one, and its AI plans your whole day. You add tasks with deadlines, priorities and time estimates, and Motion slots them into your calendar around meetings. When something slips, it re-plans automatically and warns you which deadlines are at risk.

Newer AI features draft documents, take meeting notes and help plan projects, all within Motion's credit system. Motion claims users finish 137% more work; that figure is the company's own and has not been independently checked.

The trade-offs are price and commitment. There is no free plan, Pro AI costs $19 per seat a month, and Motion works best when you move all your tasks into it. People who like to plan their own day often find the constant reshuffling stressful.

**Pick it if** you juggle many deadlines and want software to decide what to do next. **Skip it if** you only need to protect focus time (Reclaim is cheaper) or your team already uses Asana, Jira or monday.com; see our [AI project management](https://theexpertranking.com/business/best-ai-project-management/) ranking.

Scores: Time saved 7.5 · Integrations 7 · Ease of use 7 · Value 6.5 · Privacy & admin 7.5

Pros:
- Plans your day automatically around meetings
- Re-plans when tasks slip and flags deadline risk
- Tasks, calendar and projects in one app
- Apps on every major platform

Cons:
- No free plan
- Works best only if you move all tasks into it
- Constant rescheduling does not suit everyone

## The best AI tool for each work job

| Time sink | Best pick | Runner-up | Cost to start |
|---|---|---|---|
| Writing, research, analysis | ChatGPT | Gemini or Claude | Free; Business $20/user |
| Email | Gemini in Gmail or Copilot in Outlook | Superhuman | Included in your suite |
| Meetings | Granola | Otter.ai | Free |
| Team chat catch-up | Slack (Business+) | Microsoft Teams + Copilot | About $15/user |
| Shared docs and wikis | Notion | Google Docs + Gemini | Free; AI from $20/member |
| Calendar and focus time | Reclaim.ai | Motion | Free |
| Repeat tasks between apps | Zapier | Make or n8n | Free |
| Quick AI anywhere on a Mac | Raycast | ChatGPT desktop app | Free; AI from $10 |

You rarely need all of these. Most people get 80% of the benefit from one suite assistant plus one specialist for their worst time sink.

## Suite assistant or standalone tools?

The biggest decision is whether to rely on the AI built into your office suite or add separate tools.

- **Suite assistants** (Gemini in Workspace, Microsoft 365 Copilot) see your email, calendar and files, so they need no setup and inherit your company's security. Gemini comes with Business Standard at no extra charge; Copilot is an add-on.
- **Standalone assistants** (ChatGPT, Claude) are usually smarter at open-ended writing, analysis and agent tasks, and work with any mix of apps through connectors.
- **Specialists** (Granola, Reclaim, Zapier, Raycast) do one job better than either, often with a free plan.

A common setup: the suite assistant for everyday email and docs, one standalone seat for the people who write or analyse the most, and a specialist or two where the time loss is biggest. Our [best AI for business](https://theexpertranking.com/business/best-ai-for-business/) ranking compares company-wide plans in more detail.

## What these tools cost a five-person team

Annual list prices, US, as of September 23, 2026:

| Setup | Monthly cost for 5 people |
|---|---|
| Google Workspace Business Standard (Gemini included) + Granola free | About $70 |
| Workspace Standard + ChatGPT Business for 2 power users | About $110 |
| Microsoft 365 Copilot Business add-on only | $90 (at the $18 promo price) |
| Notion Business for 5 | $100 |
| Superhuman Business for 5 | About $165 |

The cheapest real upgrade is often to use what you already pay for. Many teams on Workspace Business Standard or Microsoft 365 have AI features switched on that nobody has been shown how to use.

## What changed in 2026

- **Cheaper business seats.** OpenAI cut ChatGPT Business to $20/user/month (annual) in April 2026, matching Claude Team.
- **Agents moved into work tools.** ChatGPT added workspace agents, Microsoft 365 Copilot ships Researcher and Analyst agents, and Notion Agent can edit many pages at once.
- **AI got bundled.** Slack folded its AI add-on into its plans, Google keeps Gemini inside Workspace plans, and Superhuman now bundles Mail with Grammarly and Go.
- **Meeting tools went bot-free and cross-platform.** Granola now runs on Mac, Windows, iPhone and Android.

Expect prices and plan names to keep moving; check the vendor's pricing page before you buy.

## How we ranked these tools

We scored each tool from 0 to 10 on five criteria: time saved (30%), integrations (25%), ease of use (15%), value (15%) and privacy and admin controls (15%). Scores are based on published features and prices, security documentation, independent user ratings from Capterra, the App Store and Google Play, and hands-on use of free tiers where available. Vendor productivity claims are labelled as claims. We do not accept payment for placement. More detail is on our [how we rank](https://theexpertranking.com/about/methodology/) page.

## Expert tips

1. Before buying any AI tool, check what your current plan already includes: Google Workspace Business Standard includes Gemini in Docs, Sheets and Meet, and many Microsoft 365 plans include free Copilot Chat.
2. Buy expensive seats only for your heaviest users. Give everyone the suite assistant, then add ChatGPT Business or Copilot licences for the people who write, analyse or email the most.
3. Tell people when an AI note-taker is recording. Granola and Otter capture other people's voices, and consent laws differ by state and country.
4. In Zapier, test a new AI workflow on the free plan with a few real examples, then count how many tasks it uses per run before you choose a paid tier.
5. Give Reclaim or Motion honest time estimates for a week. Their schedules are only as good as the durations you enter.

## Jargon explained

- **Suite assistant**: An AI built into an office suite, such as Gemini in Google Workspace or Copilot in Microsoft 365, that can see your email, calendar and files.
- **Seat**: One paid user licence. Business AI tools are usually priced per seat per month.
- **AI agent**: An AI that can carry out a multi-step task on its own, such as researching, filling in a document and sending it, rather than just answering one question.
- **Connector**: A link that lets an AI assistant read or act in another app, such as Google Drive, SharePoint or GitHub.
- **Task (Zapier)**: One successful action step in an automation. Zapier plans are priced by how many tasks you use each month.

## FAQ

**What is the best AI tool for productivity?**

For most people, **ChatGPT** is the best single AI productivity tool because it covers writing, research, analysis and agent tasks well. If your company uses Google Workspace or Microsoft 365, start with **Gemini** or **Microsoft 365 Copilot** first, since they work inside your email and documents.

**What are the best AI tools for work that are free?**

Good free options: ChatGPT and Gemini (free tiers), Gemini in Gmail's core features, Granola's free plan for meeting notes, Otter's 300 free minutes a month, Reclaim's free Lite plan for focus time and Zapier's free plan for simple automations. See our [best free AI tools](https://theexpertranking.com/assistants/best-free-ai-tools/) ranking for more.

**What is the best AI-powered collaboration tool?**

**Notion** is our top pick for AI-powered collaboration because its AI works across your team's shared docs, wikis, projects and meeting notes. Teams that live in chat should look at **Slack's** AI recaps and search, and Google or Microsoft shops get strong shared AI through Gemini in Workspace or Microsoft 365 Copilot.

**Is Microsoft 365 Copilot worth it?**

It is worth it for people who spend most of the day in Outlook, Teams, Excel and PowerPoint, especially at larger companies with sensitive data. At $18 to $30 per user a month on top of Microsoft 365, it is harder to justify for light users; start them on the free Copilot Chat.

**Do AI productivity tools train on my company's data?**

Business plans from OpenAI, Google, Microsoft, Anthropic and Notion say they do not train their models on your business content by default. Free and personal plans often work differently, so check the settings and use work accounts for work data.

**Motion or Reclaim: which AI scheduler is better?**

**Reclaim** is better if you mainly want to protect focus time and habits around meetings; it has a useful free plan. **Motion** is better if you want AI to plan every task and project into your day, but it has no free plan and starts at $19 per seat a month.
