ChatGPT is the most useful single AI tool for work in 2026 because it does the widest range of jobs well. It drafts and rewrites documents, analyses spreadsheets, researches the web with sources, reads your files and now runs multi-step tasks through ChatGPT Work and workspace agents.

For teams, ChatGPT Business got cheaper in April 2026: $20 per user a month on annual billing, with a two-seat minimum. OpenAI says it does not train on Business data by default, and the plan adds SSO and connectors to tools like Google Drive, SharePoint and GitHub. Heavy agent use now draws on credits, so budget for that if you plan to automate a lot.

The gap is integration depth. ChatGPT sits beside your email and calendar rather than inside them, so Gemini and Microsoft 365 Copilot feel more natural if your company lives in one suite.

Pick it if you want the best general assistant and your team uses a mix of apps. Skip it if your company is all-in on Google Workspace or Microsoft 365, where the built-in assistant may cost you nothing extra.

If your company already pays for Google Workspace Business Standard, you already have one of the best AI productivity tools. Gemini is built into Gmail, Docs, Sheets, Slides, Meet and Chat, so you use it where you work instead of copying text into a separate chatbot.

The everyday wins are real: summarise a long email thread, draft a reply in your tone, turn meeting notes into a Doc automatically with 'Take notes for me', and ask questions about files in Drive. Gemini Notebook (formerly NotebookLM) and Workspace Studio agents are included on Standard and above.

The weak spots: Gemini in Sheets is still less capable than a dedicated data tool, and Business Starter only gets the Gmail features, so small teams on the cheapest plan miss most of it. Google often runs introductory discounts, so check your region's price.

Pick it if your team lives in Google Workspace; try what you already have before buying anything else. Skip it if you run on Microsoft 365, or you need the strongest standalone assistant for deep writing and analysis.

Microsoft 365 Copilot is the most deeply integrated AI for companies on Microsoft's stack. It drafts and summarises in Outlook, recaps Teams meetings with action items, builds slides in PowerPoint from a Word doc, and analyses data in Excel. Because it works through Microsoft Graph, it can answer questions using your company's emails, chats and files while respecting who is allowed to see what.

The built-in Researcher and Analyst agents handle longer tasks, and the Copilot app on phone and desktop brings it all together. Admin, compliance and data residency controls are the strongest here, which is why large firms often start with Copilot.

The catch is cost and complexity. Copilot Business lists at $21 per user a month (discounted to $18 on annual plans until the end of 2026) on top of a Microsoft 365 licence, and Enterprise is $30. Results depend on how tidy your SharePoint and permissions are.

Pick it if your company already runs on Microsoft 365 and handles sensitive data. Skip it if you are a small team on Google Workspace or want the cheapest capable assistant.

Afterwards it merges your notes with the transcript into a clean summary, keeping your points at the top.

That approach works on Zoom, Meet, Teams and in-person meetings, and it feels less awkward for the other people in the room. Granola deletes audio after transcription and holds SOC 2 Type II, and the Business plan links notes to Notion, HubSpot, Attio and Zapier. It now runs on Mac, Windows, iPhone and Android.

The limits: the free plan only keeps 30 days of history, it is a personal notes tool rather than a team recording archive, and there is no video recording to replay. Always tell people you are transcribing.

AI steps can summarise, classify or extract data mid-workflow, and Zapier Agents can handle open-ended tasks like researching a lead. Its MCP server also lets assistants like ChatGPT and Claude trigger Zapier actions.

The downside is cost at scale. Zapier bills per task (each successful action step), so a busy workflow can push you into higher tiers quickly. Technical teams that want self-hosting or lower costs often prefer n8n or Make.

That breadth is the point: instead of one AI per app, the AI sees the whole shared context. Enterprise plans add zero data retention with Notion's model providers.

The pricing change in 2025 matters, though. Full Notion AI now needs the Business plan at $24 per member a month ($20 annual); Free and Plus users only get a trial. Custom Agents cost extra credits, and big workspaces can get slow.

In 2025 Slack dropped its separate AI add-on and rebuilt its plans. Thread summaries and huddle notes now come with every paid plan. AI search, daily recaps, translations and file summaries need Business+ (about $15 per user a month on annual billing, per third-party price trackers), and cross-app enterprise search needs Enterprise+.

The limits: Slack's AI only helps with work that happens in Slack. It will not draft your documents or manage your calendar, and the jump to Business+ is a big price rise for small teams that only want AI.

Pick it if your team runs on Slack and loses hours catching up on channels. Skip it if you mostly work in email and documents, where Gemini, Copilot or ChatGPT will save more time.

Mail is built for speed: keyboard shortcuts for everything, split inboxes, reminders and AI that drafts replies in your voice, summarises threads and lets you ask questions about your inbox. Grammarly and Go then follow you into other apps to fix and rewrite text.

Value is the weak point. Mail is only available on the Business plan, which third-party reports put at $33 per member a month on annual billing. Gemini in Gmail and Copilot in Outlook now cover the basic AI email tasks for much less, sometimes for free.

Pick it if email is your main job and a faster inbox is worth $30 or more a month. Skip it if you mainly want AI replies and summaries; try what is built into Gmail or Outlook first, or compare options in our AI for email ranking.

It works with Google Calendar and Outlook, syncs personal and work calendars so people cannot double-book you, and offers scheduling links. The free Lite plan is genuinely useful for one person, with Focus Time, Habits and buffer time between meetings.

The limits: Reclaim is a calendar tool, not a full project manager, and the free plan only schedules one week ahead with one calendar sync. Its AI is practical rather than flashy, which is a good thing.

Pick it if meetings keep eating the time you need for real work. Skip it if you want full AI project planning across a team; Motion goes further, at a higher price.

The free version is already a strong productivity tool on its own, with clipboard history, snippets, window management and thousands of extensions. AI starts on Pro at $10 a month ($96 a year) with 500 AI credits; Plus ($20) and Max ($50) add more credits and the most advanced models from several providers.

The limits: Raycast began as a Mac app and the Mac version is still the most complete, even though Windows and iOS apps exist. It suits people who like keyboard shortcuts; everyone else may never open it.

Pick it if you live on a Mac keyboard and want AI inside every app. Skip it if you rarely use shortcuts, or you already pay for ChatGPT or Claude and their desktop apps are enough.

Otter is the veteran of AI transcription and still one of the cheapest ways to get searchable meeting notes. It joins Zoom, Meet and Teams calls, transcribes live, and produces summaries, action items and an AI chat you can ask about any meeting. The phone app is also handy for recording lectures and in-person interviews.

The free plan gives 300 minutes a month, and Pro costs $8.33 a month on annual billing for 1,200 minutes. That is less than most rivals, and its Android app holds a 4.8 rating from about 44,000 users.

The drawbacks: Otter's meeting bot joins calls by default, which some attendees find intrusive, and summaries are less polished than Granola's or Fathom's. Otter has also faced a 2025 US class action over recording people without consent, a reminder to set it up carefully and tell participants.

Pick it if you want cheap, reliable transcripts of lots of meetings or lectures. Skip it if you want the best summaries or a bot-free experience; Granola ranks higher for that.

Newer AI features draft documents, take meeting notes and help plan projects, all within Motion's credit system. Motion claims users finish 137% more work; that figure is the company's own and has not been independently checked.

The trade-offs are price and commitment. There is no free plan, Pro AI costs $19 per seat a month, and Motion works best when you move all your tasks into it. People who like to plan their own day often find the constant reshuffling stressful.
